Property management software › Property management paperwork
Property management paperwork, read and filed by building
Leases, rent rolls, vendor certificates of insurance, violation notices, inspection reports and bills: LapseHawk reads them from your email or an upload, files each one to the right building, unit or vendor, and flags what's missing or about to expire.

What it reads
The documents every building runs on
Rent rolls and leases
Import the rent roll you export from your current system; units, tenants, rent and lease dates come with it.
Vendor COIs and W-9s
Read, checked against your requirements and filed to the vendor.
Violation notices
Each item becomes its own violation with a fix-by date.
Inspection reports
Found in Gmail or Outlook (read-only) and filed to the right building.
Bills and invoices
Vendor, amount, due date and property, read for you.
Anything else
Contracts, proposals and photos, kept with the building they belong to.
How it gets in
Email, upload or phone photo
- Connect Gmail or Outlook and LapseHawk picks up documents from a folder you choose.
- Or upload PDFs and phone photos straight into LapseHawk.
- A document that's been imported once won't be imported again.
See the property management software overview, vendor COIs and the violation tracker.
Example
A week of paper, handled
Monday a DCA notice arrives by email: LapseHawk reads it and adds five violations with fix-by dates. Tuesday a plumber's renewed COI comes in: it's checked and filed. Wednesday you upload a photo of a boiler invoice: it's filed to the building. Thursday the city closes an old violation in its records: it closes here too. Friday you open the dashboard and see what's left, instead of sorting a pile.
What it flags
Missing, expiring, overdue
Once the paperwork is read, LapseHawk shows what needs you: a vendor whose COI expired, a violation past its fix-by date, a lease ending in 90 days, an inspection next week. Reminders go out before each one.
